What are document statuses?

A status shows where a document is in your process, such as Idea, Drafting, Revising, or Done. Statuses help you see what still needs work and export only the pieces that are ready.

Every workspace starts with these four statuses. You can rename them, recolor them, reorder them, or add your own.

Note

Available in: All workspace types and all plans

Setting a status

From the sidebar: Right-click a document → Status → choose a status

From the folder overview: Open a folder → hover over a document's card → click Set status at the bottom of the card

A document's status appears on its card in the folder overview, and the strip along the top of the card takes the status color.

To remove a status, choose Clear status from the same menu.

Statuses apply to documents only. Folders and canvases don't have a status.

Customizing your statuses

To change your statuses: Open Workspace Settings → General → Document statuses

You can:

  • Rename a status by clicking its name
  • Change its color by clicking the colored dot
  • Reorder statuses by dragging the handle that appears when you hover over one. Menus list statuses in this order.
  • Add a status with Add status, up to 10 in total
  • Remove a status by hovering over it and clicking ×

Each workspace has its own statuses. A blog might use Outline, Draft, Edited, and Published, while a novel might use First draft, Second draft, and Final.

If you remove a status, documents that had it show no status. Use Reset to defaults to go back to the original four.

Your statuses are always included when you save a workspace as a template.

Exporting by status

On the Formatting & preview export screen, the Document structure section has a Statuses option. It's set to All by default, so every checked document is exported.

To export only some statuses, open Statuses and tick the ones you want. For example, tick Done to export only finished documents. The preview updates to match, and the selection count shows how many checked documents are left out. Choose All statuses to go back to exporting everything.

No status covers documents that don't have a status yet.
